This page covers the business of canceling the event, canceling registrations, payment deadlines and arrangements to make payment for an event. This is important information so please read it carefully.

If We Have to Cancel the Event…

ALTHOUGH THIS HAS NOT HAPPENED YET…In the rare occurrence that AT ONE OF THE FUTURE EVENTS we do not have enough participants registered and confirmed with full payment, we reserve the right to cancel any event at any date prior to or on the posted Registration Date.

Prior to cancellation, we will contact all participants who have registered but not paid in a last effort to reach the numbers we need to make the event feasible.

We realize that many people fly to Las Vegas for these events. We highly suggest that you wait until four weeks prior to the event before buying airline tickets. We will always try to give you at least four weeks notice to cancel or alter flight and hotel arrangements. You will be notified immediately once the decision is made to cancel.

If we ever have to cancel an event, any deposit or tuition money sent to us will be fully refunded.

Early Registration Discounts

For some events we offer discounted admission prices for registering early. This means that folks who register early must also PAY early. The incentive to register early is to help us create operating capital and avoid a glut of administrative tasks confirming registrations right before the event.

Early registration discounted fees will be honored until 10 days after the early registration deadline. Thereafter, registration fees for unpaid registrations will be raised to the regular registration price.

If We Have to Cancel Your Registration…

If full payment for your registration at the event is not received within 10 days, your registration can be canceled by us in order to make room at the event for other paid participants.

Should your registration be canceled for non-payment we will try to notify you by email, but this notice of our policy in writing is considered sufficient.

The best way to insure your place at a Vortex event is to register by the deadline and pay in full within 10 days of registering.

If You Have to Cancel Your Registration…

Should it become necessary for you to cancel attendance at a Vortex event which you have registered for the following refund policy applies:

Cancellation notices must be received in writing at registrar@vegasvortex.com by the refund deadline date.

If you do not plan to attend the event, please send us a cancellation notice whether you have paid for your registration or not.

Refunds

• Cancellations 14 days or more prior to the registration deadline date for the event will receive 75% refunds. The remainder of the registration monies will be retained to cover the business time and expense of processing and canceling the registration.
• Cancellations 14 to 7 days prior to the registration deadline date for the event will receive 50% refunds. At this point the event could be at risk to obtain sufficient additional paid registrants to fill the minimum required participants so we must insure that the event costs are covered.
• Cancellations later than 7 days prior to the registration deadline date for the event will not be eligible to receive a refund. There are many fixed costs associated with Vortex events and these expenses must be covered in order to hold the event. Giving late cancellations refunds could leave us in a position where we can not cover the fixed costs of the event and would have to cancel the event for everyone. We feel this would not be fair.
• Having said all that, if your personal circumstances are exceptional (unforeseen death or illness for instance) we will review the situation with compassion and consider the state of the event registration and finances when determining the final refund status of a canceled registration.

We are not able to hold registration money credits over to future events.

We do not want to receive monies on site! All registrations must be paid in full by the event registration deadline date.
